Basic Function
The Administrative Assistant plays a key role in supporting the
Business Development and Engagement teams to achieve their annual
targets. This person will be a member of our marketing team whose
primary responsibility is to manage our database of customer
contacts and communications, transferring data, making sure data is
'clean' and up to date, and training other members of staff to use
the system. In addition, you will provide comprehensive
administration support to the sales management and marketing teams
by taking lead on ensuring customer contact data is correct and up
to date and utilize our CRM to oversee our lead management process
ensuring all leads are captured in our CRM and to produce reports
tracking each lead as it progresses through its individual sales
cycle.
Responsibilities
Validating existing customer database in dealership management
system to ensure accuracy and completeness of customer data.
Working with accounting group to upload in data in CDK.
Administering process for adding new customers to CDK by validating
all customer data prior to forwarding to accounting group to be
added to CDK
Maintaining and updating data in the CRM system to ensure accurate
records of customer information
Routinely reviewing team member system usage and provide reporting
to management
Provide technical assistance to users on CRM
Managing lead management process to ensure all leads are registered
in CRM and assigned to proper TM.
Providing support for sales activities by creating reporting,
dashboards and input form changes.
Training company personnel on the policy and use of CRM
Identifying opportunities for improving customer satisfaction
through surveys and focus groups
Skills
Spoken & Written Communication
Experience working with customer data in CRM environment
Ability to work with a cross functional sales and service team
Customer Orientated
Self motivated and assertive and detail oriented
Professionalism
Ability to understand new complex new concepts and relay to
customers as needed
Education/Training/Licenses
Highschool or Associates Degree
Experience in working in office environment and with sales
teams
Microsoft office
Understanding of basic report writing language
