Building Services seeks a highly motivated, detail-oriented person
to fill the newly-created role of Payroll Coordinator. Reporting
directly to the Business Operations/Logistics Manager, this
position works closely with the Assistant to the Directors,
Managers, Supervisors, and the Finance & Treasury Payroll staff to
provide payroll duties and serve as the central point of contact
for over 300 employees within the department. The Payroll
Coordinator must be able to respond with appropriate urgency to
situations that arise and solve problems efficiently and
effectively, have integrity, and discretion in handling
confidential information, and be the consummate professional in
interacting with all levels of individuals internally. The
incumbent will routinely work with the Time and Absence Management
(TAM) system and various computer programs such as Microsoft Office
Suite, Maximo, and SharePoint.Responsibilities
- Understand and manage Time Absence Management (TAM) for
Bi-Weekly employees by reviewing time sheets daily and comparing
information entered by department Supervisors and Managers.
- Complete staffing forms for HR, Including Termination,
Retirement, Resignation, and Leave of Absence.
- Liaise with Human Resources Benefits team for Disability,
Workmens Compensation, Family Medical Leave Absence, Leave of
Absence, etc.
- Maintain Grievance Log and Log for daily call-outs for absence
and late arrivals in Share Point.
- Serve as a primary point of contact for Occupational Health to
coordinate employee appointments at McCosh Health Center.
- Track unscheduled time and prepare reports for Operations
Managers.
- Work with special payroll deadlines around holidays, university
closings, etc.
- Post position openings through the applicant tracking system
(iCIMS).
- Enter appraisal scores in the Salary Administration Module
(SAM) for annual increases.
- Maintain staffing spreadsheet databases, tracking position
numbers, vacancies, etc.
- Communicate and coordinate with time and absence Supervisors,
Payroll Reps, and Absence Administrators when appropriate.
- Update payroll information for new hires, promotions,
transfers, or terminations.
- Create, maintain, and update employee records in the file room
or electronically.
- Prepare payroll reports for senior management.
- Assist and respond to inquiries regarding pay, bundled time,
I-9 compliance, and Office of Human Resources' Self Service.
- Address issues with Time Clock Plus with the vendor and
OIT.Interactive Tasks:
