Job Description:

Job Summary: Legal Assistant will provide a full range of administrative activities and operational support to the Legal & Compliance Department. This includes legal case administration, including managing pleadings preparation and discovery, case management, and interaction with local counsel and insurers. Will also prepare, review, revise, and manage various agreements for Terumo associates through its contract management system. Will also be responsible for departmental expenses, including submission of invoices through Ariba/SAP, management of expense tracking, metrics and reporting. Will assist with data collection, routine budget administration, compiling and organizing materials, as well as preparing both standard and ad hoc reports, spreadsheets, and presentations of varying complexity. Will also be responsible for the coordination of the various Legal Department associates' schedules, including meetings and arranging business travel and logistical matters. Job Details: 1. Provide analytical and specialized administrative support to Legal Department and Legal Counsel staff, that includes complex details and advanced administrative duties2. Preparation and revision of various agreements and amendments, contracts management software, including management of legal workflow and documents, and through Access Database 3. Legal case administration to include pleadings preparation and discovery case management, preparation, and management of case discovery4. Manage and maintain invoices for all Legal Department vendors through Ariba/SAP, with ability to maintain and report out metrics5. Train Legal Department Associates and Terumo associates on new departmental procedures6. Prepare, submit and maintain various Legal Department associates'' expense reports7. Manage and maintain Critical Event Calendar with every critical date - and extract records8. Execute special or continuous research and data analysis tasks9. Analyze problems, determine approach, compile, and analyze data, and prepare reports/recommendation10. Coordinate activities between various departments and outside parties11. Contact company personnel at all organizational levels to gather information and prepare reports12. Provide various departments with reporting, presentations, and support to achieve business objective13. Provide various departments with defined reports and vendor payments to assist in their strategies and tactics14. Assist with financial reporting and various communications as needed15. Coordinate various Legal Department associates' schedules and arrange for business travel and logistics16. Perform work of a critical and/or confidential nature, and work on assignments that span across various functional areas17. Perform other job-related duties as assigned and assist Legal Department with office services functions
Position Requirements: Knowledge, Skills and Abilities (KSAs)

  • Proven ability to maintain confidentiality with sensitive information
  • Proficiency Utilizing Contracts Management Systems
  • Proficiency in Ariba/SAP
  • Highly proficient in Microsoft Excel, Word, PowerPoint, Access, Outlook, and One Drive
  • Ability to communicate effectively both verbally and in writing
  • Ability to work independently function with minimal supervision, and manage projects through to completion
  • Strong sense of urgency with the ability to handle multiple tasks with appropriate prioritization/organizational skills
  • Willingness to learn new skills/techniques and work beyond general area of responsibilities
  • Versatile, flexible and a willingness to work within constantly changing priorities
  • Strong attention to detail
  • Ability to analyze data and prepare reports in support thereof
    Background Experiences ---Bachelor's degree preferred, with a minimum of 3 years' experience supporting a Legal and/or Compliance department, or a similar functional area required; or equivalent combination of prior relevant work experience and educationExperience in Legal environment strongly preferredStrong administrative skills and a general understanding of business operations requiredExperience with Ariba/SAP preferredExperience with OnBase Contracts Management System preferred
