About the Role:

As the Legal, Ethics and Compliance coordinator, you will provide administrative and project planning support to the Legal and Compliance team by managing legal billing, supporting the US healthcare professional contract process and managing web tools and electronic documentation repository.

Your Key Duties and Responsibilities:

  • Coordinate calendar and travel scheduling for Legal, Ethics & Compliance team
  • Prepare travel expense reports for Legal, Ethics & Compliance team
  • Help implement and manage contract management system
  • Help manage legal and compliance budget
  • Prepare Healthcare professional agreements and maintain the active HCP log by entering executed agreements in the appropriate web-based document repository
  • Provide budget support to department leaders by managing and creating purchase orders in SAP and managing payment process for all external legal and compliance vendors
  • Assist with orderly meeting management by creating team meeting and working group agendas and minutes, including the quarterly Ethics & Compliance Executive Team meetings and the Office of Ethics & Compliance monthly team meetings
  • Prepare and revise presentation materials for executive management meetings and Board of Directors committee meetings attended by VP, Global Chief Compliance Officer
  • Collaborate with senior manager, compliance operations on developing and updating ethics & compliance annual workplan
  • Collaborate with all members of Office of Ethics & Compliance to maintain current electronic files in shared drive document repository, along with policies, training materials and other documentation in web-based SharePoint site. Responsible for maintaining and updating department's SharePoint site every fiscal quarter

External - Interaction with external legal and compliance vendors.

About You:

You're a true professional who thrives in a fast-paced environment taking on lead roles within a team. A master in administrative procedures, you understand the importance of having stringent attention to detail, excellent proofreading ability, as well as, strong organization and planning skills. You can analyze and solve complex problems and have been responsible for projects from implementation to completion. You've demonstrated integrity, discretion when handling confidential information, diplomacy in dealing with difficult situations, and a willingness to address and resolve conflict to continually enhance results. You're a proactive worker who works well under minimal supervision with good initiative and follow up. As someone who continuously seeks opportunities for development, you search for knowledge relating to the business as well as career enhancement. You have the desire to learn how our organization works formally and informally to better understand how your work fits into the mission of the organization.

Qualifications/Education:

  • High School Diploma Required. Bachelor's degree preferred
  • Five years of prior administrative support experience required, with executive level support preferred.
  • Experience working in a fast-paced professional environment including coordination of meetings, managing of calendars, arranging travel.
  • Responsibility for projects from implementation to completion.
  • Exhibits competence in MS Word, Easy Req, SAP, PowerPoint, T and E, CorpTime Calendar and Outlook email application, etc.
