This position supports the VP of IT User Experience, her direct reports and the broader organization as needed. The associate will be responsible for accomplishing highly diverse, and often complex, administrative tasks, activities, and projects. Specifically, IT User Experience teams work closely with other matrixed teams within IT and other BMS business functions. In addition, the team work closely with several vendors and service providers. Consequently, coordination and collaboration with individuals outside of BMS as well as within, is a key requirement of this role.

Specifically, the associate is expected to manage calendars, schedule meetings, conferences, and events, make travel arrangements, maintain accurate departmental files and records, order office supplies, and as needed, on-boards and off-boards consultants and employees.

Responsible for departmental status reporting and updating of various SharePoint sites and other tracking documents. Creation of monthly LT agenda and associated notes/action items. Coordination of regular Town Hall meetings including presentation material. Additionally, documentation filing assistance, support of training coordination, and various other activities to enable the function.

The successful candidate will be someone who is self-motivated and accountable with the ability to independently manage administrative projects, compilation of reports, metrics and presentations. Has strong organizational skills, pays close attention to detail and follow-up, and properly balances priorities and resources. Maintains a positive attitude, a high level of productivity, and is adaptable to change. Proactively looks ahead at schedules, events, and needs of manager/team, anticipates conflicts and issues, and takes appropriate steps to produce desired outcomes with minimum assistance from supervisor.

Key to success in this role include strong communication skills and the ability to collaborate across IT and peers across the teams that the IT Operations organization interacts with. Exhibits excellent judgment in handling confidential information, demonstrates diplomacy, professionalism and tact in dealing with difficult situations. Is a collaborative team player who effectively builds relationships with team, other departments and companies.

Position requires a highly seasoned professional with experience working with/for senior level executives and large teams. Candidate must be comfortable working and communicating with all levels in the organization and have good working knowledge of company's corporate policies. Demonstrates experience in project and task management. Must be comfortable working with new tools and technologies including Internet, web-based and digital communications tools. Highly proficient in technologies used across various computer applications (Outlook Calendar, e-mail, TEAMS, Audio and Video Conferencing, Microsoft Office Suite, particularly PowerPoint, Excel, and Word). In addition, familiarity with BMS systems and software such as Concur, Ariba and SharePoint would be beneficial. Adapts easily to new learning situations, knows how to set priorities, is proactive, reliable and accountable, and works with limited supervision. Demonstrates excellent verbal and written skills for effective communication with senior management and all levels of the organization. High School diploma or equivalent is required. Minimum of 3 years experience as an Executive Assistant or comparable experience. 7 years of administrative or related experience preferred.
