Overview
The Business Services Associate will provide executive
administrative support, streamlining processes, communication and
activities across the business unit.
Responsibilities
Partner with business leaders and
their teams to understand business strategy, products, processes,
and systems and to support the day-to-day operations of their
departmentGain an understanding of key business initiatives and
anticipate the future needs of their team. Based on independent
knowledge and understanding, draft agendas, presentations, meeting
materials as requestedCollaborate with other Business Services
Associates and functional areas (Travel, Finance, IT, Contract
Administration, etc.) to identify opportunities to streamline
workflows, to prioritize key business activities and develop
solutionsDevelop and maintain strong, credible relationships across
business units and deliver business resultsRespond to changing
situations and encourage and help others to do the sameManage
conflicting priorities and be comfortable in a fast-paced
environmentIndependently resolve moderately complex problems and
issues under general supervision using appropriate judgment,
discretion, and knowledgeManage all operational detail and issues
independently-take ownership for completionPrepare reports or
replies to inquiries, selecting relevant information from a variety
of sourcesAssist in moderately complex project coordination and
support departmental initiativesManage complicated business
calendars in OutlookMaintain confidential records and filesAssist
with agendas, presentations, handouts, and other written materials
for distribution at meetingsManage meetings with internal and
external customers (scheduling, meeting invites, prepare agendas
and collect and distribute materials for meetings, assist in
writing meeting minutes, etc.)Manage complex travel schedules-both
domestic and international. Complete expense reports following
company guidelinesEthics & Compliance - Complete required SOPs in
designated time frameComplete all requests in time frame
allottedMentor and develop Administrative Assistants, as
requiredPerformed other assigned tasks as needed
Qualifications
Minimum of 3+ years of experience
working in a fast-paced, Corporate environmentExperience working in
the pharmaceutical industry preferredGenerally, supports VP(s) &
TeamsProactive and solution minded. Able to make independent and
high-quality decisionsStrong business acumen (know all aspects of
the company and business including the various programs and
personnel to ensure efficient operations)Must be creative and
innovativeHigh level of proficiency with all Microsoft Office Suite
applications; tech savvy, strong computer skillsExhibits
outstanding customer service; keeps customer firstResults and
quality drivenDependable, dedicated; strong team player
Demonstrates professional judgment and strong decision-making
ability based on company policy and precedent; able to work with
minimal supervision. Excellent interpersonal skills to manage
interaction with all levels of internal staff and outside
contactsExceptional oral and written communications skillAbility to
manage multiple projects and priorities, some project management
experience required.Ability to track action items, metrics and
