Job Purpose
The People Benefits & Leave of Absence Administrator is responsible
for delivering best in class experiences to our employees
throughout the employee life cycle. In this role, you will
responsible for the day-to-day operations of group benefits
programs (group health, dental, vision, short-term and long-term
disability, holistic wellness programs, life insurance, flexible
spending plan, retirement plans, etc.). You will provide excellent
customer service to our employees across the country and contribute
towards the design of quality benefits plans. In line with our
Immer Besser motto, the administrator continually investigates new
benefits and wellness programs and improves existing programs.
Essential Functions:
Support for employees
- First and main point of contact for communicating with and
responding to employee benefit plan questions, and assists
employees regarding benefit claim issues and plan changes. In
addition, communicate with employees regarding their needs for
leave of absence (FMLA, Paid Family Leave, etc) Ensures timely
responses and follow up.
- Counseling employees on all benefits matters.
Day to Day Benefits and Leaves Administration
- Responsible for day-to-day benefits processing, approval of new
hire enrollments , changes due to life events, beneficiaries,
disability, accident & death claims, COBRA, terminations, changes
due to life events, beneficiaries, disability, accident and death
claims, rollovers, distributions
- Responsible for day-to-day leaves through a third-party vendor
including family and medical leave of absence, non-medical leave of
absence, paid parental leave. Manage any leaves of absence based in
accordance with state/city requirements and company policy. Update
and communicate as needed.
- Reconcile all benefit/leave invoices monthly and submit for
payment.
- Ensures appropriate processes are in place to collect team
member healthcare premiums for unpaid leaves.
- Process leave records and transactions in the HRIS
system
- Collaborates with payroll and disability carriers to ensure
team members are paid accurately while on leave of absence and
maintains compliance with leave of absence and employment laws
including the Family and Medical Leave Act (FMLA) ADA,
Temporary Disability Insurance (TDI), Long Term Disability (LTD)
and other leave of absence issues.
- Maintains complete and accurate records of leave and
accommodation requests in accordance with specified legal
requirements.
- Monitor and audit file feeds to ensure data integrity both
internally and externally to vendors.
Open Enrollment
- Lead the execution of the annual benefits digital open
enrollment including system set-up, testing, integrations, updates
to rates/limits, update related employee resources.
- Ensure integrations to benefit providers are working properly.
Makes manual updates directly in vendor systems if needed.
Benefits renewal
- Participate in annual benefit renewal with benefit broker and
HR executive manager to select and implement benefit
plans.
- Review broker modeling, analyze scenarios, evaluate company and
employee impact, and come to decision and implement changes.
Vendor relations
- Manage and maintain ongoing relationship with all benefit
providers/vendors including:
Broker, insurance providers, retirement administrator, retirement
advisor, etc. to ensure deliverables/SLAs are met in a timely
fashion.
- Manage the relationship with our 401(k)-provider including
day-to-day operations, employee education, plan
changes/enhancements, required participant communication,
compliance, corrections.
Communication & Education
- Design and distribute materials for benefits orientations for
new hires, open enrollment and summary plan descriptions.
- Conducts Benefit Orientation for new employees
- Develop communication tools to enhance understanding of the
company's benefits package including 401(k)
- Maintain Benefit related content in HRIS directly and to the
portal via marketing. Coordinate all automatic file connections.
Create content/update communications in HRIS
- Communicates with employees regarding leave options (FMLA, STD,
Parental Leave, etc) and ensures that all are educated and aware of
their responsibilities and of any documentation and notice required
to qualify for and to take leave.
- Coordinates with HR Business Partners the return-to-work
process for team members returning from leave/and or identify
opportunities for reasonable accommodations.
Compliance & Audit
- Work with vendor compliance groups on required plan
discrimination and other testing (e.g., retirement, FSA,
COBRA).
- Review results of 401(k) testing to determine any match
true-ups due.
- Partner with benefit broker's resource to prepare and submit
the annual 5500 for health and welfare plans. Distribute and post
the Summary of Annual Report.
- Work with auditor for requested information for the 401(k)
plan.
- Distribute creditable coverage, Medicare part D
notice.
- Manage annual ACA filing electronically.
- Respond and complete all National Medical Withholding forms as
well as coordination of benefit requests from vendors.
- Complete any state specific benefit surveys or government
requests.
- Ensure timely/accurate compliance requirements are met
including SF Security Ordinance, CA Pay Data, PCORI, Secure Act,
HIPPA, etc.
- Ensure all programs, policies, and procedures comply with
current legislation.
Qualifications
- Bachelor's degree in human resource management or related
field, and 3 to 5 years of related benefits or employee benefits
administration experience
- SHRM_CP or SHRM-SCP and CEBS professional designations
preferred
- Knowledge of all pertinent federal and state regulations,
filing and compliance requirements, both adopted and pending,
affecting employee benefits programs, including the ACA, ERISA,
COBRA, FMLA, ADA, Section 125, Medicare, and Social Security and
DOL requirements
- Strong written and verbal communication skills; proven ability
to diagnose and resolve issues. Must be able to interact
effectively with employees and vendors. Excellent communication,
customer service, organization, and analytical skills.
- Ability to maintain confidentiality.
- Must be comfortable presenting in front of large groups both in
person and virtually.
- Must be able to work with multiple priorities and projects at
the same time and prioritize to meet deadlines.
- Advanced Microsoft Office skills with proficiency in Excel and
Power Point; experience with ADP Workforce Now, HRIS and Proficient
in using benefits administration/participant database
systems.
- Proven ability to work effectively in a team
environment.
- Ability to foster, develop and maintain professional and
collaborative working relationships.
