the Executive Associate II provides administrative support to the
Vice President of Global Regulatory Strategic Operations (GRSO) as
well as members of the GRSO Leadership Team. Performs highly
diverse administrative and project-focused duties, which by nature
of the position may involve high level contacts and exposure to
confidential material necessitating the use of tact, diplomacy,
discretion and judgment. The candidate must have proven skills in
prioritizing and multi-tasking, as well as the ability to remain
poised and focused in a fast-paced working environment. Key
Responsibilities
- Demonstrate strong interpersonal skills and diplomacy in all
levels of management.
- Work with minimal supervision, have strong initiative,
organization skills and commitment to follow-up with focus on
details.
- Perform diverse administrative duties including calendar
management, meeting scheduling and coordination (internal and
external), making travel arrangements (domestic and international),
processing expense reports; completing independent project
work.
- Prioritizes activities and takes prompt action based on an
understanding of departmental objectives and business needs.
- Adhere to T&E (travel and expenses) policies, including
knowledge of general BMS policies to ensure compliance.
- Maintains professional and technical knowledge by remaining
current with BMS continuous learning modules.
- Positive, proactive team player with ability to build
relationships across the GRSO and with key stakeholders across the
organization. Must be flexible to provide back up support for other
administrative assistants within the group and/or department as
needed.Qualifications & Experience
- High School degree, some college or degree desirable.
- 5+ years administrative or comparable experience; prior BMS and
Executive Associate Experience preferred.
- Proficient with Microsoft Suite (Outlook, Word, Excel, Power
Point). Knowledge of BMS Systems and Processes strongly
preferred.
- Concur Travel and T&E, Ariba/SAP, SharePoint, MyBMS,
Workday, Room Scheduler experience strongly desired.
- Has strong organizational skills, pays close attention to
detail and follow-up, and properly balances priorities and
resources.
- Maintains a positive attitude, a high level of productivity,
adaptable to change, able to learn new tools and systems in an
ever-evolving environment.
- Demonstrates ability to prioritize, pro-actively work
independently and collaboratively with other administrative
assistants/external partners, across organizational levels,
functions, and supports business needs across different time zones
and during periods of heavy workload.
- Ability to multi-task and adapt quickly to competing priorities
while remaining focused.
- Ability to work effectively under pressure to meet
deadlines.
- Exhibits a positive work attitude, and high productivity.
- Proven track record of collaboration with other administrative
assistants in order to ensure business needs/goals are
